Privacy policy

Who operates this site

Humberto operates this installation of Competition Tracker. It is an independent project; see the disclaimer. This installation is operated in Texas, United States. This policy describes how the application handles information. Hosting, backups, and report-reading services are configured by the site operator.

Information we handle and why

  • Participant names, session membership, points, and review flags to run Power Hours.
  • Operator or cashier numbers, report dates, metrics, and scores to calculate competition standings.
  • Uploaded report images, processed copies, and extracted data to review and verify reports.
  • Access credentials and cookies to protect administrative controls, private sites, and participant submissions.

Reports may contain additional information visible in the image. Upload only information you are authorized to share, and remove unrelated personal or customer information before uploading. Automated extraction assists report entry; administrators review reports before saving them.

Who can see information

Names, operator numbers, scores, rankings, and archived results may be visible to anyone who can access this site. If the administrator enables a viewer password, access is restricted to signed-in viewers and administrators. Without that protection, standings and archives are public. Report images are served through an administrator-only endpoint. People with access may copy or export information they can view.

Report processing and hosting services

When a report is scanned, its processed image and extraction instructions are sent to the image-reading service selected by the operator. This may run locally or be an external provider. An external provider may process data in another country and has its own retention practices. Ask the operator which provider is used before uploading sensitive information. Hosting providers may also process technical information such as IP addresses and request logs to operate and secure the service.

Cookies and browser storage

The application uses cookies for administrator and viewer sign-in, Power Hour participation, and demo access. Administrator and viewer access expires after 12 hours. Production participant cookies are session cookies; demo access cookies last up to two hours. Your theme preference is saved in your browser until you change it or clear site storage. The application does not include advertising trackers or third-party analytics scripts.

How long information is kept

Unsaved report drafts expire after 24 hours. Expired or discarded drafts and their image files are queued for cleanup while the server is running; failed deletions are retried.

Saved proof images become inaccessible and due for deletion 15 days after the competition ends, including original images, processed copies, and processing metadata. Identifiable competition results, operator numbers, report data, and scores are deleted 30 days after the competition ends. These periods start at the end of the final competition day in its configured timezone.

Power Hour names, scores, membership, and access credentials are deleted 30 days after the session ends. If a Power Hour belongs to a competition, the period starts when both the session and competition have ended. A participant's name is removed when it is no longer needed by another retained session. Competition settings may remain after the results have been deleted.

Cleanup runs at server startup and every minute while the server is running. Overdue data is cleaned up when the server next starts. Image deletions are queued and retried if they fail. A shared image is retained while another unexpired report or draft still needs it. Archiving does not delete information immediately or extend these retention periods.

Demo workspaces expire after two hours without activity that extends their lifetime and are removed during workspace cleanup. Backups, hosting logs, downloaded exports, and copies held by external report-reading services follow their own retention schedules; deleting a record from this site does not automatically remove those copies.

Contact contact@huerodriguez.com to ask about your information, request a correction or deletion, or find out which hosting and report-reading providers are used. Include the competition or session name and your participant name or operator number so the relevant records can be located. Your legal rights and any required retention depend on the applicable law and the circumstances of this installation.

Changes to this policy

Updates will appear on this page with a revised date. The operator should communicate material changes to how participant information is used or shared.
